The ability to review and organize a large number of emails and to be sure deadlines are met is a must.
This individual should be able to draft documents and help the executive with any necessary meeting preparations.
Medical knowledge is a benefit but not required.
Hours are generally 11:
00am - 3:
00pm, three days a week, but can be variable, and some travel can be necessary.
Role and
Responsibilities:
Efficient Executive Coordination and Support.
Ensure CEO's daily schedule is optimized, protecting focused work hours and managing exceptions for urgent matters.
Organize meetings with well-defined objectives, comprehensive background information, and insightful questions.
Collecting and delivering timely updates.
Effective Partnerships and Communications (strong written and verbal communications skills).
Collaborate with teams including marketing, management and doctors to assess, prioritize, and align efforts.
Cultivate relationships with other doctors and professionals, arranging meetings.
Preparing daily updates and meetings.
Collaborate with the CEO to generate compelling content and distribute it to the marketing team.
Operational Excellence and Administrative Coordination.
Collaborate with finance for timely payments and effective communication with vendors and customers.
Assist in arranging travel and meetings, ensuring seamless logistics.
Uphold the confidentiality, sensitivity, and secrecy required for the CEO's role.
Utilize AI tools and tech proficiency (Slack, Canva, Fanthom, Google Docs, HubSpot) to expedite tasks and improve outcomes.
Qualifications:
Exceptional writing skills and a high degree of professionalism.
Strong experience in Microsoft Office, Microsoft Calendar.
Proficient with PPT, Zoom, Teams, Canva, Google Docs, and similar tools.
Ability to work 11:
00am - 3:
00pm (3 days week).
Excellent organizational skills and an adaptable approach.
Adept at maintaining confidentiality, sensitivity, and secrecy of CEO-level information.
A sense of humor that complements a dynamic work environment.
