Summary:
Under the direct supervision of the Chief Human Resource Officer, the Human Resource Help Desk Coordinator is the first point of contact within the HR department for all Mason Health workforce members.
This individual is responsible for directly answering or triaging all questions and/or requests coming into the HR Help Desk.
Questions and requests may be presented in person (visitors to the HR department), via email and/or telephone.
The Human Resource Help Desk Coordinator ensures compliance with federal, state, and local laws and regulations.
Participates in performance improvement and continuous quality improvement (CQI) activities.
The Human Resources Help Desk Coordinator protects the confidentiality of employee information at all times.
Duties and
Responsibilities:
HR Help Desk:
Primary responsibility is triaging HR-related questions from walk-in visitors, phone calls and emails coming into the HR Help Desk; answers routine HR-related questions using advanced critical thinking skills; offers professional, courteous replies via in person conversations, return phone calls and email messages; routes more complex messages as needed to subject-matter expert within the HR team or other departments if necessary; tracks all incoming activity and resolution in the HR ticketing system.
New Hires, Internal Transfers and Terminations:
Verifies internal transfers and terminations are processed without discrepancies referencing change forms; notifies payroll and other relevant parties of terminations and electronically archive personnel records.
Verifies data on new hire UKG profiles cross-checking with electronic personnel files.
Data Entry:
Update pay grades as required annually and when new Collective Bargaining Agreements are ratified; process name changes including updating I9 documentation; transfer new job descriptions into updated format and upload into Performance Manager for future use.
Department Auditing & Reporting:
Upload current employee roster for monthly re-screening in the OIG and SAM databases; generate monthly birthday lists and use to prepare and send birthday cards to workforce members; ensure new hires have electronic access to correct job description prior to new hire orientation; audit new hire first payroll to ensure correct application of extra pay components; audit pay changes entered by other HR staff members on a regular basis; run annual motor vehicle checks for all Mason Health workforce members who drive on behalf of Mason Health; periodically check to ensure all labor law postings are current.
Additional related duties and special projects as assigned.
Required Education and
Experience:
Three (3) years of prior experience working in an office environment is required.
Prior experience working in a hospital or other healthcare organization is strongly preferred.
One (1) year prior experience working in Human Resources is strongly preferred.
Required Knowledge, Skills and Abilities:
Strong organizational skills are essential to this role.
Excellent time- and priority-management skills are required.
Must be goal oriented with attention to detail.
Must be proficient in use of MS Excel, Word and Outlook.
HRIS experience is strongly preferred.
Must be able to read, write and speak English fluently.
Excellent written, verbal and interpersonal communication skills are required.
Must possess qualities related to respect for the rights and confidentiality of others.
Ability to present information concisely and effectively, both verbally and in writing.
Must have the ability to work independently with minimal supervision.
