Administrative Support Serves as back-up when the Communications Director is absent or unavailable, assisting with the unit's administrative duties.
This position may assign tasks and establish timetables for completion of specific tasks to the section's support staff.
This position assists VR Communications and other DVR Staff by:
Creating, maintaining, and entering information into databases, spreadsheets and calendars to track purchases, tasks, events and other deliverables as necessary.
Setting up and managing paper and electronic filing systems, recording information, updating paperwork, or maintaining documents, including documents routed for approval and required reports.
Composing and distributing meeting notes, routine correspondence, or reports, such as presentations, newsletters or expense, statistical, or monthly reports.
Reviewing work done by others to check for correct spelling and grammar, ensure that department format policies are followed, and recommend revisions.
Supporting division meetings, conferences, outreach and other events by ordering and dispensing supplies; preparing materials; creating and managing related contracts or agreements; arranging travel and/or related reservations for office personnel.
Collaborating with vendors and division recipients on orders; ensuring orders are correct and received, to include sorting, packing and shipping duties.
Attending and/or participating in local outreach efforts.
Performs related work as required.
