Summary of Function:
This position processes and audits all travel requests and claims, ensuring travels are conducted and paid according to the Arizona Western College Travel Policy, and performs audits of travel P-Cards for the College.
Typical Duties:
Serves Students.
Audits and processes travel requests for all college personnel, including authorizing purchases to travel agencies, car rental agencies, conferences, and the Yuma Transportation Center.
Maintains travel requests log, verifies budgets, and informs travelers and staff of travel regulations and travel policy.
Provides information to vendors, college staff, and students.
Audits, processes, and approves the District's Travel PCard transactions and reconciles transactions to monthly PCard statements.
Contact travelers/vendors for travel arrangements, registration, and payments.
Answer/respond to incoming telephone calls and emails.
Assists travelers with travel questions and travel arrangements.
Audits and enters data in the automated system for travel advances, reimbursement, and travel vendor payments.
Research outstanding Travel Claims.
Researches and resolves discrepancies.
Responsible for updates to the Travel Manual and staying informed on the State of Arizona travel policy and changes for impart to the College's travel policy.
Performs training on travel and travel-related PCard policy every month or as needed.
Works in the electronic document management system to maintain organized travel documentation, including travel requests, travel claims, and travel PCard statements and receipts.
Provides backup for Accounts Payable Office Manager as needed, to include data entry of accounts payable information in the automated system.
Reconciles vendor statements and accounts.
Audits and verifies the accuracy of invoices and purchase orders ready for payment to the vendor.
Processes payments for various payroll deductions, college travel, athletic officials, student refunds, and student incentive checks.
Prepares and disburses accounts payable checks, e-checks, and reports.
Required to process a weekly Accounts Payable check run once every six (6) months to say current on the payable process, which includes:
auditing invoices and purchase orders, data entry, reports, and EFT bank process, etc.
Responsible for annual audit tasks related to travel, travel PCards, game guarantees, accounts receivable, Accounts Payable as needed, etc.
Support and participate in strategic planning initiatives and perform other duties as assigned.
Required
Qualifications:
Associate's degree with courses in accounting, two (2) years of Travel and/or Accounts Payable experience, and (2) two years of Excel experience or equivalent application OR High School Diploma or equivalent, and four (4) years of Travel and/or Accounts Payable experience, and (2) two years of Excel experience or equivalent application OR An equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved may be considered; experience with computerized accounting and travel software is preferred Additional Eligibility Requirements:
